Terms & Conditions for Hire Services

Thank you for your interest in the unique hire services offered by Casa-Party.

Please ensure you read the following Terms and Conditions carefully. Whether organising a private celebration or a public event, it is essential to maintain safe practices throughout the entire planning and operational process.

These Terms outline the obligations, responsibilities and expectations for both you (the client) and us (Casa-Party).

By understanding and adhering to these requirements, you help ensure a safe and successful event for everyone involved.

When you are ready to proceed with a booking, you will be required to formally accept these Terms and Conditions by completing our Terms and Conditions Agreement form.

1. DEFINITIONS

​

For the purpose of these Terms & Conditions:

​

  • “Casa-Party”, “we”, or “the Company” refers to Casa-Party and its authorised representatives.

  • “You” or “the Hirer” refers to the client hiring equipment, structures, or services.

  • “Equipment” refers to any item or structure hired from Casa-Party.

  • “The Equipment” describes the specific items outlined in the Hire Contract.

  • “Hire Rate” refers to the cost charged for each day (or part thereof) during which equipment is hired.

  • “Hire Charges” refers to the total payable amount, including delivery, installation, set-up, operation, dismantling, collection, and any applicable deposits.

  • “Hire Contract” refers to the Booking Form/Invoice/Quote together with these Terms & Conditions.

  • “Hire Period” refers to the time stated in the Hire Contract or any formally agreed extension.

  • “Booking Form” refers to the invoice/quote issued to the Hirer detailing the equipment, charges, and dates.

  • “Third-Party Supplier” refers to any company or individual not owned or operated by Casa-Party.

  • “Third-Party Equipment” refers to any equipment supplied, erected, serviced or collected by a Third-Party Supplier. Such equipment is entirely the responsibility of that supplier.

These Terms & Conditions may only be amended with written consent from Casa-Party. Any contradictory conditions proposed by you shall not apply unless expressly accepted in writing by Casa-Party.

2. ACCEPTANCE OF QUOTATION

​

A binding contract is formed only when:

  1. You have accepted our quotation in writing;

  2. A non-refundable deposit of 25% has been paid; and

  3. Casa-Party has issued written confirmation of your booking.

Quotations remain valid for 30 days from the date issued, subject to continued availability of the equipment.

3. BASIS OF QUOTATION

​

All quotations are issued based on the following assumptions:

  • The Hire Period reflects the period during which the equipment must be ready for use.

  • Hire charges exclude attendance by Casa-Party personnel unless required for the erection/dismantling of inflatable structures.

  • The site surface must be suitable, level and safe for installation. For grass sites, the grass must be cut short the day before installation.

  • You must identify and clearly mark all underground utilities, obstacles or hazards. If unknown, you must provide an up-to-date GIS underground survey report. Pegs may be driven up to 1 metre into the ground.

  • You accept responsibility for any repair costs associated with damage to the site caused by installation, use or removal of equipment.

  • All obstacles must be removed before delivery. If Casa-Party must move obstacles, we accept no responsibility for damage caused.

  • Additional work, equipment or services required outside the quotation will incur extra charges.

  • Waiting time for installation crew is chargeable at £45 per hour or part thereof.

  • Adequate electrical supply must be available within 20 metres of the structure. Separate circuits may be required to avoid overload.

Casa-Party accepts no liability for damage caused by insufficient or unsuitable electrical supply.

4. PRICE & PAYMENT

​

  • A 25% non-refundable deposit is required to secure your booking.

  • The remaining balance is due 30 days before the hire date.

  • Bookings made within 30 days of the hire date must be paid in full at the time of booking.

  • Late balances incur an immediate 10% default charge, followed by daily interest at the current Bank of England base rate.

  • All hire goods remain chargeable whether used or not.

  • Additional hire days are charged at 90% of the daily rate (excluding set-up/collection days).

  • Payments must clear before delivery. We accept card payments (2.5% surcharge) or BACS (no surcharge). Cash and cheques are not accepted.

  • Outstanding amounts may be passed to debt recovery agents, and you will be responsible for all associated recovery costs.

5. VARIATION OF HIRE CHARGES

​

Casa-Party may adjust prices if labour, materials or transport costs increase before or during the hire period.

Additional items added after the original booking will be charged at current rates.

All prices may be amended at any time without prior notice.

​

6. AMENDMENT OF ORDER BY THE HIRER

​

You may amend your order up to 30 days before the hire date, subject to availability. After this point, all booked items will be chargeable whether used or not.

​

7. INSURANCE

​

Casa-Party holds £1 million Public Liability Insurance.

Insurance includes cover for accidental damage unless caused by theft, negligence, vandalism or misuse.
You are responsible for the first £350 of any damage or loss.

You agree to indemnify Casa-Party for:

  • Damage resulting from misuse or negligence

  • Damage caused by failure to follow safety instructions

  • Damage or loss of Third-Party Equipment

  • Any loss of client-owned items left within our equipment

Security remains the responsibility of the Hirer at all times.

If Casa-Party cannot access equipment for collection, responsibility for the equipment remains with you until retrieval is possible.

8. UNDERGROUND SERVICES

​

You must clearly identify and mark all underground cables, pipes and other services.

If their presence is unknown, you must provide a recent GIS underground survey.

You will be fully liable for damage to unmarked utilities and any associated repair or service interruption costs.

9. DELAY

​

Casa-Party is not liable for delay or failure to fulfil a contract due to:

  • Unsuitable or inaccessible site conditions

  • Weather conditions preventing safe installation

  • Unmarked underground services

  • Overgrown grass or obstructions

  • Fire, flood or natural disaster

  • Industrial action or strike

  • Events outside our reasonable control

 

10. WEATHER CONDITIONS

​

Casa-Party may refuse to erect a structure if extreme weather is forecast.
A wind/rain/snow management plan will be provided and must be followed.

If wind speeds reach 24mph or above:

  • Casa-Party will not erect the structure, OR

  • If already erected, you must safely deflate the structure immediately.

  • Re-inflation must only occur when wind speeds are safely below 24mph.

You must monitor weather conditions using an anemometer.
Failure to follow weather management procedures makes you liable for resulting damage.

Full hire fees remain payable for cancellations due to unsafe weather.

Insurance against weather-related cancellation is recommended.

11. CASA-PARTY DELIVERY, INSTALLATION, QUALITY & COLLECTION RESPONSIBILITIES

​

Casa-Party is responsible for the following aspects of service delivery:

​

Delivery

Ensuring all hired equipment is delivered to the event site safely, securely and at the agreed time.

Installation

Installing all equipment correctly and safely, in line with both your booking requirements and Casa-Party’s operational standards.

Quality Control

Inspecting and testing all equipment before and after use to ensure it is functioning correctly and meets safety standards.

Collection

Dismantling, packing and collecting equipment promptly at the end of the hire period.

​

12. CLIENT SATISFACTION

​

Client satisfaction is a priority for Casa-Party.
Our installation team is committed to ensuring that you are pleased with the installation and condition of all equipment provided.

If you have any concerns, queries or issues, you are encouraged to contact our Installation Team directly so they can resolve matters quickly and efficiently.

​

13. ACCESS AND INSTALLATION REQUIREMENTS

​

To ensure a smooth installation:

​

  • You must provide a video of the access route to the site before the event.
    Failure to do so may result in Casa-Party not being responsible for any access-related difficulties encountered.

  • Installation staff are insured to carry equipment up to 20 metres from where the vehicle is parked.
    Any additional distance is at the installation team’s discretion and must be agreed in advance.

  • You must consider the width, ground condition and access limitations of your site, in accordance with all other Terms & Conditions.

  • Access to a water supply is required for cleaning, preparation, or where water weights are required for safety.

 

14. PROVISIONAL INSTALLATION & COLLECTION DATES

​

Casa-Party will provide provisional installation and collection dates at the time of booking.
These dates may be adjusted depending on scheduling, weather conditions or client availability.

Any changes must be agreed upon between the client and the installation team.

16. INSTALLATION TEAM LIABILITY & COMPENSATION

​

The Installation Team accepts responsibility for:

​

  • Delivery

  • Installation

  • Quality control

  • Collection of equipment

 

Any complaints or compensation claims that relate specifically to these services must be directed to the Installation Team. Casa-Party will remain in communication with them to ensure all standards are upheld and any issues are addressed promptly.

​

17. AGREEMENT WITH INSTALLATION TEAM

​

By entering into a hire contract with Casa-Party, you acknowledge and accept the responsibilities and processes involving the Installation Team as outlined in these Terms & Conditions.

​

18. DELIVERY & COLLECTION CONDITIONS

​

You must ensure:

​

  • The site is accessible, safe and ready for installation.

  • A minimum access width of 1.2 metres is available for transporting the venue and equipment.

  • You or an authorised representative is present during delivery to inspect and sign for the equipment.

If you or your representative are not present:

  • You will be deemed to have accepted the equipment in the condition delivered.

  • Casa-Party will erect the venue as appropriately as possible based on the site.

Upon handover, you will be shown how to inflate and deflate the structure.

​

Additional Terms:

  • Tarpaulins supplied must be used as instructed.

  • If the venue must be moved after installation due to your request or error, an additional charge will apply.

  • Casa-Party may erect, dismantle or collect equipment at any time deemed operationally suitable.

  • Hire charges do not include repairs or restoration of the site.

 

19. OWNERSHIP

​

All equipment remains the exclusive property of Casa-Party at all times.

​

You may not:

  • Sub-hire

  • Lend

  • Sell

  • Mortgage

  • Transfer possession

  • Allow third-party liens on any equipment

 

20. DAMAGE

​

You are responsible for the cost of repair or replacement of any equipment that is damaged, lost or missing during the hire period.

No items may be pinned, taped, stuck or attached to the structure in any way.

If tape or adhesives are used, a minimum £50 cleaning charge will apply.

​

21. CARE OF EQUIPMENT

​

Once erected:

​

  • Openings, exits and entrances agreed at installation must not be altered.

  • All openings must be securely closed during windy conditions or when the venue is not in use.

  • Adequate heating must be provided in cold conditions to prevent weather-related damage.

  • Snow must not be allowed to accumulate on the equipment.

  • You are responsible for ensuring the structure remains safe at all times.

 

22. FLOORING & GROUND CONDITIONS

​

If flooring is hired:

  • The ground must be level and prepared appropriately.

  • Casa-Party is not responsible for uneven flooring caused by ground imperfections.

  • Grass must be cut short and all debris—including animal waste—must be removed.

  • Technicians may refuse installation until the site is made suitable.

  • Failure to prepare the site may result in loss of deposit and Casa-Party is not liable for resulting delays or cancellations.

  • ​

23. SAFETY

​

For safety reasons:

  • No unauthorised persons may enter the structure during installation.

  • Casa-Party is not responsible for injury or damage sustained by any person during the hire period.

  • Electrical equipment, cables or extensions must not be altered after installation.

  • Additional appliances must not be connected without permission.

  • Heaters and cooking devices must remain at least six feet from venue walls.

  • No cooking or heating equipment may be used inside the venue unless approved.

  • BBQs, fire pits or open flames must be at least fifteen feet away.

  • Compliance with No Smoking laws rests entirely with the Hirer.

  • ​

24. FURNITURE & ADDITIONAL ITEMS

​

Casa-Party will place all hired furniture and extras inside the structure.

You must not move or rearrange items installed by our team.

You are responsible for:

  • Ensuring safe use of all items

  • Laying tall items flat before deflating the venue

  • Placing all furniture back in the collection area folded and stacked

  • Laying provided tarpaulin inside the venue before deflation

A minimum £100 fee applies for failure to comply with tarpaulin or furniture return instructions.

Missing or damaged furniture will be charged accordingly.

25. HIRER RESPONSIBILITIES

​

You must:

  • Sign a safety checklist after installation.
    If absent, two Casa-Party representatives will sign for you and leave a copy on-site.

  • Not use decorations, lighting, cooking appliances or equipment without prior permission.

  • Cover any repair or cleaning costs caused by improper use.

  • ​

26. LIABILITY

​

Casa-Party will not accept liability when:

  • The site is inaccessible, unsafe or unprepared

  • Weather prevents installation

  • The Hirer has not secured required permissions or permits

  • There is no suitable water supply when water ballasts are required

Full or partial hire fees remain payable in these circumstances.

27. CANCELLATION BY CUSTOMER

​

If you cancel:

  • The deposit is non-refundable.

  • You must also pay:

Cancellation must be made by phone, speaking to a Casa-Party staff member.
Voicemails, texts, emails or letters are not accepted as valid notice.

You must provide:

  • The staff member’s name

  • A valid email address for written confirmation

Failure to follow this procedure may result in full hire charges being payable.

28. LIMITATION OF LIABILITY

​

If Casa-Party fails to fulfil the hire contract:

  • Our liability is limited to refunding or waiving hire charges.

Casa-Party is not liable for:

  • Indirect or consequential losses

  • Loss of profit

  • Costs resulting from client negligence

  • Damage caused by third-party failures

This limitation does not apply in cases of death or personal injury caused by Casa-Party’s negligence.

29. THIRD-PARTY SUPPLIERS

​

Casa-Party is not liable for:

  • Failure, damage, breakdown or theft of third-party equipment

  • Third-party non-attendance or service disruption

Even if third-party items appear on the Booking Form, they remain solely the responsibility of the Third-Party Supplier.

​

30. THIRD-PARTY LIABILITY

​

You agree to indemnify Casa-Party against:

  • Injury to persons

  • Damage to property

unless caused by Casa-Party’s proven negligence.

We are not responsible for mechanical or electronic failure of any equipment.

​

31. CUSTOMER INSOLVENCY

​

Casa-Party may immediately cancel the contract and recover equipment if:

  • You become insolvent

  • You enter administration, liquidation or bankruptcy

  • You breach any Terms & Conditions

  • ​

32. FORCE MAJEURE

​

Casa-Party may cancel or amend the contract if performance is prevented by events outside our control, including:

  • Natural disasters

  • Fire, flood or storms

  • War or civil unrest

  • Strikes or lockouts

  • Transport, fuel or power restrictions

  • Government orders

  • Any other event beyond the Company’s control

 

33. CANCELLATION BY CASA-PARTY

​

Casa-Party reserves the right to cancel the contract if:

  • You fail to obtain required insurance

  • You do not secure necessary permits

  • You request a date change or postponement

  • A Force Majeure event occurs

Casa-Party may also cancel within 14 days of the invoice date.

34. SECURITY DEPOSIT

​

You must pay a £350 Security Deposit to Casa-Party.

  • Deposits sent to the wrong account incur a £25 admin fee.

  • For certain events (e.g., festivals or events involving pets), the deposit may increase to £600.

  • Casa-Party may deduct any outstanding charges or damage costs from the deposit.

  • The deposit will be refunded within 7 working days after equipment is collected, provided no damage, cleaning or insurance claims are pending.

  • If you have agreed to promotional discounts, promotional media must be supplied before the deposit is returned.

  • Damage exceeding the deposit must be paid by you within 7 days of notification.

  • A cleaning charge of up to £250 applies if items are returned dirty.

 

35. APPLICABLE LAW

​

These Terms & Conditions and the Hire Contract are governed exclusively by the Laws of England.
